[Uwh-announce] AGM Reminder and reports

Hi all,

 

Don't forget that TUHA's Annual General Meeting is on Wednesday between
games one and two, starting approximately 7:51pm.

 

Attached is the agenda and the reports for items 4 and 5 are also attached.

 

The constitution formally defines the rules that TUHA can operate under, and
any changes must be voted upon by the members under a special resolution
usually at an AGM.

Item 6 as indicated in a previous email is a special resolution to be put
forward to TUHA members for such a vote on a change as follows:

 

1.	Section 10.3(1)(b)(vi) added - Member Protection Information
Officer.
2.	Section 10.2(6) added - An Officer of TUHA may only hold one
position of Officer but can hold one other Ordinary Committee Member
position.
3.	Section 10.3(5) added - An Ordinary Committee Member can hold one
other Committee position. 

The rationale behind this is as follows:

The change in dot point 1 above is to ensure that TUHA has a Member
Protection Information Officer and that person has a voice on the Committee.
The Member Protection Information Officer plays an important role as they
provide information and guidance on complaints procedures - they are the 'go
to' person if you want to discuss problems at TUHA, particularly if you are
considering making a formal complaint.

Dot point 2 ensures that the roles of President, Vice President, Treasurer
and Secretary must be held by different people. The previous version of the
Constitution did not have this protection which in theory could all be held
by the one person.

Part of dot point 2 and dot point 3 above enables a Committee member if
required to fulfil more than one role such as President and Equipment
Officer, or Development Officer and Media and Webmaster Officer in the event
that positions at the AGM Committee election are not all filled. Ideally the
Committee would like all 11 positions filled by different people.
